Ayam Company Office Structure

Ayam has many departments that make our field work successful. These departments work efficiently and are connected to each other to implement required activities, locate problems on sites, immediately support and facilitate in solving problems, reporting problems and solutions to the Client on daily or hourly basis, basically managing and controlling the information necessary so that the projects and work activities are successful.
These departments are:

Projects Control Department

Department responsible for implementing the projects, time scheduling, costs control, and construction meetings with client.

This Department also is responsible for analyzing the execution plan, description of needed manpower and the logistics plans submitted by the project managers before work starts. This Department with high level expertise reviews adjusts and/or approves these plans in advance before they are implemented.

Commercial and Contracts Department

Department responsible for all contracting and legal issues between Ayam, the Clients and Subcontractors.

This department now is led by an experienced Contracts and Procurement Manager with full knowledge of US Government Contracting capable of meeting all Client contracting requirements, to comply with the FAR’s, DFAR’s, RFP’s, RFI, EWO, SCNR, etc. The manager of this department is experienced and capable USA lawyer that has over 25 years’ experience in construction work. This Department is also responsible for registration issues, upgrading company’s classifications, preparation and submittal of offers, preparing and issuing subcontracting and procurement packages.

Procurement Department

Department responsible for supplies of materials to sites from local market or importing some materials from neighborhood countries. This department has been working inside Iraq market for the last 13 years and established itself very well with main local wholesalers and has big experience to supply these materials with high quality and transport all materials to site on time with less costs as this department owns many transportation vehicles and trucks to facilitate purchasing and delivering these needs to site.

Safety Department

Department responsible to protect all people working on sites from harm and accidents and make sure that all equipment onsite are not damaged.

Ayam has its own safety manual which contains all safety procedure and standards. All staff of this department has received and still is receiving necessary training courses for upgrading their knowledge and skills to assure preventing any safety violations on site.

They have been given independent authority to shut down the Project if they deem necessary; this is strong enough to assure them they can do their duties properly and successfully. This department is directly connected to the president and board of directors of the company. Ayam safety records are clean from any safety violations and no incidents or accidents happened in its projects and sites.

QA/QC Department

Department responsible for assuring and controlling that all materials and activities of work meet with international engineering specifications and standards. This department contains many qualified QA/QC engineers drawn from their respective fields of electrical, mechanical and civil engineering.

They are receiving specialized training courses and field training to enhance their skills in QA/QC. Ayam has its own QA/QC manual which has been developed and upgraded based on our own field experiences and knowledge of construction. This QA/QC manual meets or exceeds international standards based on real work experiences with many checklists of tests for many different kinds of materials on sites, while the procedures for testing are included in this manual.

Ayam’s QA/QC team has established a good relationship with many governmental testing laboratories to test all construction materials.

Human Resources, Administration, and Training & Development Department

Department responsible for all personnel files of employees, including work history, work records, current position, pay records, salary and pay administration, promotions, vacations, employee training and development, travel arrangements for delegations outside the country. Ayam’s Training and Development Policy is based on providing the resources for our employees to improve their skills and knowledge so they can learn and grow professionally, which improves the company’s business performance. Ayam will continue to send employees, particularly Engineers and Managers, to training courses outside Iraq, as we have don by sending them to Siemens to obtain necessary certificates and upgrade their technical training and qualifications.

Security Department

Department responsible for securing all of our sites and individuals and equipment before and during and after the project.

This department is very sensitive one according to the general security conditions of the country. It has been performing well for the last three years under very high security pressure and circumstances. This staff is highly qualified, accurately selected and well trained to meet and perform with and under any Security situation. Necessary vehicles, weapons, trained brave people are already available in this department.

This department connects itself directly and immediately with the Iraqi authorities and official security institutions before the begging of the project and its main policy is to secure these sites with 100 % local Iraqis, keep very low profile, receive the necessary support from the main sheiks and family leaders nearby the sites, hire as much as we can from locals and share with them as much as we can job opportunities and profits of the work resulted from the project that is located in their territories. This department has worked and is still working in many locations in Iraq.

Some were almost safe and some were totally unsafe such as; Baiji, Diyala, Mosul, Baghdad and other locations. The record of security incidents of Ayam was and still is safe and clean.

Property and Warehouse Departments

Property Department is responsible to receive all equipment and materials from client, record them, sign submittals, and deliver them to our warehouse department. This is all done through a specific tagging system, trained staff with experience, recorded in reports, and pictures to protect the property of our Client and protect the liability of our company for it by preventing loss or damage of these materials and equipment. Warehouse Department is responsible to safely secure all property of Ayam and the Client and keep track, numbering, storing, and maintaining all materials, equipment, caravans, containers, construction tools & instruments.

This department promptly supplies our projects with available and necessary materials, while retaining and protecting all surplus and left over materials and company’s equipment after completion of the projects.

Each Project Sites will have its own local storage containers and property and warehouse team to control site materials and company equipment, in order to protect assets and reduce losses Ayam focuses and stresses to employees the high cost of losses and as such has implemented a Loss Prevention Program to reduce costs and to reuse surplus items instead of purchasing them from the market.

Estimating and Cost Control Department

Department responsible for estimating the cost of projects, determination of expenses and profits, overhead costs, approving prices for purchases, etc.

The staff of this department has much experience about the local market with very strong relationships with well-known suppliers resulting in good information to assist the Procurement Department and to estimate project costs.

Document Control Department

Department responsible to control all documents for the projects, sending daily reports for all sites attached with daily photos of this work, saving documents and emails in records of each projects, archiving all necessary records on soft and hard copies, communicating with client daily via email, documenting all work activities, safety issues, QA/QC reports, documenting the number and classifications of manpower per day, and informing the client of relevant issues daily and weekly.

Follow up Department

A new department which gives extra control to sites and extra update to the head management of the company by doing randomly surprising visits, understanding the problems or weak points in project, monitoring all staff and critical issues in general, and writing reports from time to time about these visits.

This department is directly connected to the president and CEO of the company to keep him updated and gives him an advanced early alarm about critical issues.
